On 25th May 2018 the new General Data Protection Regulations (GDPR) came into effect.
We are contacting all our customers to provide you with an update on how we use and store any personal information obtained by Busy Books (Westbury) Limited.
We store confidential personal data that is relevant to you as a customer and to carry out your taxation and accounting works as per your engagement letter. This information will include your full name, address and contact details, national insurance number and date of birth, tax reference numbers and details of your business which are freely given by you for us to carry out your work, and to send to you an invoice for the works we have done. Where appropriate we also obtain an email address if you prefer electronic invoicing and so that we can communicate with you electronically.
We like to share our news, tax saving tips and changes in legislation with our customers. By sharing your email address with us, you are giving us permission to contact you via email and to add you to our mailing list to receive our updates. We do not use this information for any other reason or sell or share this information with anyone else. You can easily subscribe and unsubscribe from our mailing list at the footer of any email and via our website www.busybookswestbury.co.uk if you want to.
We now also provide a customer portal where you can safely upload personal documentation for our use and you can view such items as accounts and tax return copies and payslips. If you do not yet have your log in for our portal – please do not hesitate to contact us about this.
We must keep your information for a minimum of 6 years to adhere with Companies House and HMRC laws. We only keep the information required to be able to provide to you our services, to be able to report legally to the above, and can ensure you that this information is kept securely in our office and on our database at all times. All computers and software are password protected, emails are encrypted, and our filing cabinets remain locked when the office is closed.
We do accept payments by card and over the phone. These are taken securely and are card reader complies with the PCI standards and regulated software, hardware and personal behaviour. We will never retain your card details and will not write them down. We are unable to take payments by direct debit from monthly paying customers, but we do accept Bacs transfers and encourage standing orders to be set up to our bank account for regular works.
We will always obtain agent authorisation before acting for a new customer.
We will never sell or share your information with anyone else other than HMRC and Companies House as appropriate to fulfil the work we are engaged to do unless you have given us permission to do so. And we do not sell or share your personal information with third parties. We will always require in writing should you wish to leave our services or change to another accountant.
